SharePoint Governance and MySite Clean up

A common requirement in any SharePoint Governance plan is how do we handle users My Profile and My Site content when they leave the company.

Thankfully this is one area of SharePoint that out of the box there has been a lot of work. It pretty much covers the common scenarios like profile and site deletion, email alerts, delegating permissions to secondary contact/manager before deletion to allow review.

The problem, like much of SharePoint, is that the actual solution and working parts are fairly complicated.

Thankfully Kirk Evans has taken the time to write up a very detailed post on how this works, some of the things to watch out for and some work-a-round’s for this issues.

Some of items that stand out

  • The user of the manager field from the profile import to provide secondary site owner permissions automatically
  • Errors if using Claims Authentication and way of working around
  • Turning off the clean up job when changing the connection to prevent accidental deletion
  • How to add archiving of sites if that is a requirement
